  2. Share the guest link or QR code
  3. Collect photos and private voice messages

Getting started

For hosts

Create a gallery

Give your celebration one shared home for photos. Guests will not need an account.

  1. Open the gallery creator on the website and choose your occasion.
  2. Enter a name and event date. Choose a design, fonts, pictures and the features you want.
  3. Check visibility and the summary. Creating a free gallery does not require a purchase; choose an upgrade separately if needed.

Secure your host access

A guest link and a management link serve different purposes.

  1. If you created without an account, use the offered option to secure your gallery with an email address or connect it to your account.
  2. Keep management access safe and check that you can reopen and manage the gallery.
  3. With an account, use My albums. For a printed card set, use its separate admin card.

Understand plans and payment

Start free and upgrade when you need more space or features.

  1. Check the current plans for upload allowance, storage duration, video support and audio limits.
  2. Choose a plan. Web payment offers depend on region: PayPal or card/wallet payment processed by Stripe.
  3. Wait for confirmed activation after payment. If unclear, reopen the gallery and contact support before paying again.

Design and share

For hosts

Personalise pictures, colours and text

Open gallery settings to match the gallery to your celebration.

  1. Choose a theme or adjust colours and fonts in their settings sections.
  2. Under Title Area, change the profile/title picture and header image. Leave enough space around faces and important details.
  3. Edit the gallery name and description, save, then check the result on a phone.

Set access and privacy

People with the guest link or QR code can reach the shared gallery. Share it thoughtfully.

  1. Check visibility and optional password protection in gallery settings.
  2. If using a password, give guests clear instructions and test their access in a private browser window.
  3. Review download, sharing, comments and upload permissions separately.

For hosts

Share a QR code or print cards

Guests can join directly in their browser.

  1. Open QR Code in the gallery and use the guest access. Open the card designer for decorated print cards.
  2. Choose a design and available format, export the file and check the print size.
  3. Scan a printed proof with another phone. Put cards on tables or at the entrance and explain what guests can do.

For hosts

Activate a printed ForeverPix set

A printed set separates guest cards from the admin card.

  1. Scan the admin card first and follow activation. Enter event details and check the included plan.
  2. Personalise the linked gallery and test a guest card on another device.
  3. Keep the admin card private. Share only guest cards; the permanent admin QR remains your management access.

Joining as a guest

For guests

Upload photos or videos as a guest

No ForeverPix app or personal account is required.

  1. Scan the guest QR with your phone camera or open the shared link. Enter the gallery password if requested.
  2. Tap Upload, choose photos or supported videos and follow the displayed steps.
  3. Keep the browser open during transfer. Wait for confirmation and check that your media appears.

For guests

Browse and enjoy the gallery

The host chooses which interactions guests can use.

  1. Open a photo for a larger view. Use collections, filters or My photos if available.
  2. Use enabled likes, comments, voting or the leaderboard. A text guestbook is separate from private audio messages.
  3. For a screen at the event, open the slideshow and test the display and connection beforehand.

For guests

Try photo challenges

Photo challenges give guests ideas for memorable pictures.

  1. The host enables photo challenges under Settings → Features and manages the offered challenge cards.
  2. Guests open Photo challenge and draw an idea.
  3. Take the picture and upload it using the normal flow. Respect anyone who does not want to be photographed.

Gift the gallery more space

Eligible free galleries can show a gift offer when space is running low.

  1. Open the visible gift-space offer. It is not shown in every gallery or at every usage level.
  2. Check the Lite or Plus gift and pay only if you want to give it to the host.
  3. Once payment is confirmed, the matching plan is applied to that gallery. The gift does not grant management access.

Managing your gallery

For hosts

Organise and manage content

Use your host access to see management actions.

  1. Review pictures in the gallery and use available selection actions to remove content when necessary.
  2. Create collections for parts of the day or favourite moments.
  3. Enable only the interactions you want, such as likes, comments, sharing, voting or challenges.

For hosts

Pause or allow guest uploads

Look for the setting that allows guests to upload photos.

  1. Open gallery settings, turn guest uploads off and confirm the prompt if you want a temporary pause.
  2. Save. Authorised hosts can still upload during this host-controlled pause, subject to other limits.
  3. Turn uploads back on to resume. If another change conflicts with yours, reload the current settings.

Set up optional event planning

The photo gallery works without a guest list, seating chart or menu.

  1. Open the event overview or settings and enable only the modules you need.
  2. Add guests and personal invitations if wanted, then maintain enabled areas such as responses, tables, menus, schedule or host announcements.
  3. Test a personal invitation separately from the general gallery QR and check any plan requirements.

For hosts

Save your photos and videos

Keep your own copy of important memories.

  1. Use individual download actions where the host permissions and plan allow them.
  2. For a whole-gallery export, the host opens Gallery settings → Save photos → Download all as ZIP.
  3. Wait until the archive is ready, then tap Download. Open and check it on your device; audio messages are not included.

For hosts

Host notifications

Photo and audio notifications do not necessarily work in the same way.

  1. Secure the gallery with a reachable email address and check notification settings.
  2. For audio, check the notification status in audio management. You can open messages there even before an email arrives.
  3. Check spam and your email address if messages are missing. An email link does not replace authorised host access.

Audio guestbook

For hosts

Enable the audio guestbook

Call us collects private voice messages. It is not a real phone call.

  1. Open Gallery settings → Audio guestbook. Real guest messages are available from Lite; the free demo is separate.
  2. Enable the feature explicitly. Buying a plan does not automatically turn it on.
  3. Under design, choose a caller name, image and available colours. Select a personal photo if wanted, then save.

For hosts

Record your welcome greeting

Guests hear your published greeting before leaving their own message.

  1. In audio management, open Greeting. Choose a text greeting or your own recording.
  2. For a recording, allow microphone access, speak somewhere quiet and stop within the displayed time limit.
  3. Listen back, confirm the required permission and publish. Wait for processing, then make a test call.

For guests

Leave a voice message as a guest

Open the audio guestbook from the gallery or its dedicated QR code.

  1. Start the displayed call. Listen to or read the greeting, then start recording and allow microphone access.
  2. Say your message, stop and listen back. Record again if you prefer.
  3. Confirm the privacy notice and deliberately send. Keep the page open until receipt is confirmed; conversion can take longer.

Listen to and download messages

Only authorised hosts and co-managers can open the private inbox.

  1. Open Audio management → Messages. A received recording may still be processing; wait until it is ready.
  2. Tap Play. If silent, check media volume, Bluetooth output and, where relevant, the phone's silent switch.
  3. Download ready messages individually as MP3 and verify each file. Use deletion only when intended.

Photo booth and help

For hosts

Set up and connect the photo booth

The separate browser photo booth also works without a gallery.

  1. Open /fotobox/ on the intended device. Set occasion, names, layout and style, then take a test shot.
  2. Connect with the normal guest QR or gallery slug and, if required, its password. Approved shots upload to the linked gallery, subject to upload limits and restrictions.
  3. Place the device securely at eye level with good lighting, power and a reliable connection. Test saving, uploading and any printing before the event.

For guests

If something goes wrong

The exact error is more useful than repeated taps.

  1. For uploads, check connection, file size, available space and host permission. Try one small file first.
  2. For audio, check microphone permission, media volume and Bluetooth. Open directly in Safari or Chrome instead of an in-app messenger browser.
  3. For access, check that you used the correct guest or host link and reload. Tell support the device, time and error without publishing secret access details.

For guests

Prepare your phone, tablet and browser

The gallery needs no app, but camera, microphone and downloads are still device features.

  1. Use an up-to-date browser and allow camera or microphone only for the feature you are using.
  2. Check storage, battery, media volume and audio output. Keep power connected or use a power bank for long sessions.
  3. Open downloaded files to verify them. Before the event, test the complete guest journey on another device.

Your final event checklist

A short rehearsal prevents most surprises.

  1. Host access secured, name and date correct, design saved, plan and duration suitable?
  2. Guest QR printed and scanned on another phone, password shared clearly, uploads allowed and tested?
  3. Audio enabled deliberately, greeting and picture checked, your own test message received and downloaded? Photo booth powered, stable and printing tested if needed?
  4. After the event, save photos and important voice messages in good time. Share content only with the necessary permission.
