After the celebration, many memories are still on guests' phones. A calm follow-up plan helps you gather a selection and keep your own copies. Treat the timing as a suggestion, adjusted to your event and your gallery's availability.

Step 1: Send one friendly reminder

Give guests time to get home, then send the same guest link to the intended group. Ask for a selection rather than everyone's complete camera roll. That respects their time and makes the collection easier to browse.

Wording to copy: “Thank you for celebrating with us! If you would like to, please add a few favourite photos to our gallery. Here is the link again. We would especially love the little moments we missed ourselves. Please only share pictures that the recognisable people are comfortable including.”

Nobody owes you an explanation for not sending pictures. Do not post the link in open public groups just to increase the number of contributions.

Step 2: Agree who will organise the collection

Choose one person to keep track of the next steps. Decide together which photos you want for your private memories and which you would like to share. If someone asks for a picture to be removed, address the request promptly and consider copies you have already saved separately.

Guest contributions and your professional wedding photography are different collections. Add the photographer's files only after checking the agreed uses. Receiving a file does not mean you should assume every form of redistribution is permitted.

Step 3: Check the files, not just the download message

Check which download options are available in your gallery and chosen package.
Save the collection you want to a device with enough free storage.
If you receive a ZIP archive, extract it and open several pictures from different parts of the collection. Play a few videos too, if included.
Compare the files with the selection you intended to save. Thumbnails or screenshots are not automatically the downloaded original files.
Keep another copy on a separate storage device or a deliberately chosen backup service, and check some files there as well.

Only after these checks do you know the copy is usable. Keep the source files until then. A completed-download message alone does not establish that all the files you wanted are readable and present.

Step 4: Use a small folder system

01_Guest_Photos_Originals: the unchanged downloaded collection.
02_Our_Selection: copies of the pictures you want to revisit or print.
03_To_Share: a separate selection for the agreed group.
A short note: the backup date, its scope, storage locations and who keeps the second copy.

You do not need to rename every photo immediately. Distinguishing originals from edited copies matters more at this stage. Check the actual file's quality before ordering large prints.

Step 5: Put availability in your calendar

A gallery with a limited availability period is not a permanent archive. Check the period that applies to your gallery and save your files well before it ends. The package overview lists different availability periods; do not rely on a general promise of “forever”.

You can later share a chosen collection with guests. Access to an event album does not automatically mean agreement to Instagram, TikTok or public website use. Discuss those publications separately and keep host passwords private. The aim is to preserve useful memories without publishing more than everyone intended.
